Fantastic opportunity for an experienced and professional administrative assistant to join our client 3 month contract position to start immediately!

The Opportunity

We are pleased to partner with our client in their search for professional administrative assistant to join their team on a temporary basis.  This position will provide support to the Events Manager in preparation for an annual conference in Calgary. 

Please note that this position is based in Edmonton but will require an individual who can travel to Calgary for one full week mid-September (all expenses paid), to be hands- on during the conference/tradeshow.  Experience in event/tradeshow planning and production is an asset, but not a necessity. Working directly under the Events Manager and the convention planning team you will be responsible for the following.

Key Account Responsibilities and Functions

  • Send out sponsorship packages, track response and follow up when required.
  • Work closely with sponsors to ensure logo’s are supplied and all invoicing requirements are met.
  • Track RSVP’s for VIP lunch and other events.
  • Assist in coordinating speakers (collect bios, presentations, ensure A/V requirements are in place for sessions).
  • Coordinate the shipment of materials and branded items.
  • Attend all in house convention planning meetings.
  • Provide support onsite during the event in Calgary in the following areas:
    • Assist in setting up onsite staff office.
    • Manage onsite staff schedule and act as back up as required.
    • Coordinate and distribute sponsorship signs, tent cards, documents and related material.  
  • Coordinate after event thank you cards to sponsors.
  • Follow up on sponsorship invoicing if require.
  • Other general administrative tasks.

Required Skills and Qualifications

  • Minimum 5+ years of intermediate/senior level administrative experience.
  • Experience in event/convention/tradeshow planning an asset.
  • Advanced Office 365 skills (Word, Excel, PowerPoint and Outlook skills).
  • Confident and professional demeanor.
  • Outstanding written and verbal communication skills.
  • Excellent organizational and time management skills.
  • Ability to travel to Calgary September 19-23 inclusive is a must (all expenses paid).

Compensation and Benefits

  • Hourly wage will be in the range of $27.00 – $30.00 based on experience.
